What is an AI voice agent?
An AI voice agent holds a spoken phone conversation: it turns speech into text, decides what to say with a language model, and replies in synthesised speech, fast enough for natural turn-taking. It handles routine calls such as scheduling, order status and reminders end to end. We build them to transfer cleanly to a person when needed.
Voice is the least forgiving AI interface. In text, a two-second pause is invisible; on a call it is an awkward silence, and people start talking over the agent. Latency and turn-taking matter more than model sophistication.
We build voice agents for the conversations that are genuinely routine — appointment scheduling, order status, qualification, reminders — and design the transfer to a human to be immediate and unembarrassing, because the fastest way to lose a caller is to trap them.
What this includes
- 01
Inbound call handling
Answering, understanding intent, and resolving or routing without a phone-tree menu.
- 02
Outbound calling
Reminders, confirmations, and follow-ups at volume with natural conversation.
- 03
Low-latency pipelines
Speech, reasoning, and synthesis tuned for response times that feel like a conversation.
- 04
Telephony integration
Connected to your existing phone infrastructure and contact centre.
- 05
Live transfer
Immediate handoff to a human with conversation context passed along.
- 06
Call transcripts and review
Recording, transcription, and quality review of every conversation.
Situations we see most often
Appointment scheduling and reminders
Booking, confirming, and rescheduling handled entirely on the call.
Order and service status
Answering the high-volume routine question without a queue.
Lead qualification
First-contact qualification with warm transfer to sales when it is worth their time.
After-hours coverage
Handling calls outside business hours instead of sending them to voicemail.
What to know before you start
How does an AI voice agent work?
Streaming speech-to-text turns the caller's words into text as they speak. A language model decides what to say next, using your rules and systems, such as a calendar or order database. Low-latency text-to-speech replies in a natural voice. All three run as a pipeline tuned so the reply starts well under a second after the caller stops speaking.
Telephony connects it to your phone numbers through SIP trunks, providers such as Twilio, or your existing contact centre.
Which calls should a voice agent handle?
High-volume, routine calls with a clear outcome: appointment scheduling and reminders, order and service status, simple lead qualification, and after-hours cover. These follow predictable patterns, and getting them right is easy to check.
Sensitive, complex or emotionally charged calls, and anything where a wrong answer is costly, should go to people. A good voice agent recognises those and transfers rather than trying.
Why does latency matter so much on calls?
In text, a two-second pause goes unnoticed. On a call, it is an awkward silence, and callers start talking over the agent, which derails the conversation. Turn-taking, knowing when the caller has finished and handling interruptions gracefully, matters more than the sophistication of the model.
That is why model choice, telephony routing and streaming are engineered together, and measured on real calls.
How is a voice agent tested before going live?
Against recordings of your actual callers, with their accents, background noise and phrasing, rather than vendor benchmarks. We measure understanding, task completion and transfer behaviour, then run a limited live rollout with transcripts reviewed before expanding.
How are calls reviewed and improved after launch?
Every call produces a transcript and an outcome: completed, transferred, or abandoned, with the reason. We review samples regularly, especially transfers and abandoned calls, to find where the agent misunderstood or where callers asked for something it does not yet handle.
Those findings feed back into the agent's rules and test set, so it improves on evidence from your callers rather than guesswork.
What drives the cost of an AI voice agent?
Voice agents combine telephony, speech and reasoning. These factors move the cost most.
| Factor | Effect | Why it matters |
|---|---|---|
| Call types handled | High | Each call type needs its own flow, rules, integrations and testing on real recordings. |
| System integrations | High | Booking, order and CRM lookups during the call need fast, reliable integrations. |
| Languages and accents | Medium | Each language needs testing and sometimes different speech models. |
| Telephony setup | Medium | Connecting to your numbers or contact centre, with live transfer, varies by provider. |
| Call volume | Medium | Running cost is per minute of speech and reasoning; it scales with usage. |
| Review and analytics | Low | Transcripts, recordings and outcome dashboards are modest to add and essential for tuning. |

Questions we get asked
01Will callers know they are talking to an AI?
They should, and we build it that way. Disclosure at the start is both the honest choice and, in a growing number of jurisdictions, the legally required one. In practice callers mind far less than teams expect, provided the agent is useful and transfers quickly.
02What languages are supported?
English plus major Indian and international languages, with quality varying by language and accent. We test against recordings of your actual callers rather than assuming vendor benchmarks transfer.
03How fast is the response?
The target is comfortably under a second from end of speech to start of reply, which is where a conversation stops feeling stilted. Achieving it consistently depends on model choice, telephony routing, and geography, all of which we tune for.
04Can it make outbound calls?
Yes: reminders, confirmations and follow-ups, within the calling rules that apply to you, with disclosure at the start of every call.
05Can a person take over mid-call?
Yes. Live transfer passes the call and a summary of what has been said to a person, so the caller does not have to start again.
06Can it book appointments directly into our calendar?
Yes. The agent checks live availability in your calendar or booking system during the call, confirms the slot with the caller, and creates the booking, followed by an SMS or WhatsApp confirmation if you want one.
07Is call data kept secure?
Recordings and transcripts are stored encrypted with access limited to your team, retention periods are set with you, and sensitive details can be redacted from transcripts.
08What happens if the caller goes off script?
The agent handles reasonable variations in wording and order on its own. When a request falls outside what it is built for, it says so plainly and transfers to a person with a summary.
