Billing and accounting software that reconciles itself
Invoicing, subscription billing, receivables, and accounting integration built for businesses whose billing rules are more complicated than a standard tool allows.

- Best when

What is custom billing software?
Custom billing software generates invoices, runs recurring and usage-based charges, tracks receivables and reconciles payments for businesses whose pricing rules are too complex for standard tools: contract-specific rates, milestones, multi-currency. The requirement underneath it all is that billed, collected and booked amounts agree. We integrate it with the accounting system you keep.
Billing gets custom-built when the rules stop being simple: usage-based pricing, contract-specific rates, milestone invoicing, multi-currency, or revenue that has to be recognised differently from when it is billed.
The requirement underneath all of it is that the numbers reconcile — that what was billed, what was collected, and what your accounting system records agree without someone checking by hand every month.
What this includes
- 01
Invoice generation
Automated invoicing from contracts, usage, or milestones in your own formats.
- 02
Subscription and recurring billing
Plans, proration, upgrades, and renewals handled without manual intervention.
- 03
Receivables tracking
Ageing, reminders, and collection status so overdue accounts surface early.
- 04
Payment reconciliation
Matching received payments against invoices automatically, flagging genuine exceptions.
- 05
Accounting integration
Posting to Tally, Zoho, QuickBooks, or your existing ledger rather than replacing it.
- 06
Tax handling
GST and multi-jurisdiction tax calculated correctly on every document.
Situations we see most often
Your pricing is genuinely complicated
Usage tiers, contract-specific rates, or bundled services that standard invoicing tools cannot represent.
Invoicing is manual and slow
Someone spends days each month producing invoices that should generate themselves.
Reconciliation is painful
Matching payments to invoices takes real effort and errors are found late.
Billing and delivery are disconnected
What was delivered and what was billed live in different systems and disagree.
What to know before you start
When does billing need custom software?
When your billing rules stop being simple: usage-based pricing, contract-specific rates, milestone invoicing, bundles, multiple currencies, or revenue that has to be recognised differently from when it is invoiced. Standard invoicing tools handle fixed prices well and everything else through spreadsheets.
If someone on your team rebuilds invoices by hand every month, or checks every invoice against a contract before it goes out, custom billing usually pays for itself quickly.
Why integrate with your accounting software instead of replacing it?
Your accounting system carries statutory compliance, audit history and the trust of your team and auditors. Replacing it adds risk without adding value. The better pattern is custom billing that handles your complex logic and posts clean, summarised entries into the ledger you already use, such as Tally, Zoho Books or QuickBooks.
That way the complicated part is automated, and the accounting side stays exactly as familiar as it is today.
How does payment reconciliation work?
Invoices carry payment links. When a payment arrives, the gateway notifies the billing system, which marks the invoice paid and matches the amount. Settlement reports from the gateway are then reconciled against what was collected, so fees, partial payments and failures are accounted for.
Anything that does not match is flagged immediately for a person, instead of surfacing at month end as an unexplained difference.
How are taxes handled?
Tax rules, including GST invoice formats and breakdowns, are built in and kept configurable, since rates and requirements change. Multi-currency invoices are issued in the customer's currency with exchange rates recorded, and reported in your base currency.
How do billing and delivery stay connected?
Invoices are generated from what was actually delivered, such as usage records, completed milestones, shipped orders or time logged, rather than retyped from another system. When delivery and billing read the same data, nothing delivered goes unbilled and nothing is billed twice.
Disputes become simpler too, because each invoice line can be traced back to the record it came from.
What reports does a custom billing system provide?
Billed versus collected by period, customer and product; receivables ageing; revenue by plan or contract; payment gateway fees; and exceptions such as failed payments or unreconciled settlements. Each report reads from the same records as the invoices, so the numbers match what the ledger receives.
Finance gets answers in minutes rather than assembling them from exports every month.
What drives the cost of custom billing software?
Billing cost follows the complexity of your pricing and how many systems the numbers must agree with. These factors move it most.
| Factor | Effect | Why it matters |
|---|---|---|
| Pricing rules | High | Usage-based, contract-specific, tiered and milestone pricing each add calculation logic and test cases. |
| Accounting integration | High | Posting correct entries into Tally, Zoho or QuickBooks needs careful mapping and reconciliation. |
| Payment reconciliation | Medium | Matching gateway settlements, fees and partial payments to invoices is detailed work that removes manual checks. |
| Multi-currency | Medium | Exchange rates, rounding and base-currency reporting add rules throughout. |
| Revenue recognition | Medium | Recognising revenue over time rather than at invoice date adds schedules and reporting. |
| Customer portal | Low | Letting customers view and pay invoices themselves adds an interface, and reduces follow-up calls. |

Questions we get asked
01Should this replace our accounting software?
Almost never. Accounting systems carry statutory compliance and audit expectations your team and auditors already rely on. The better pattern is custom billing that handles your complex logic and posts clean entries into the ledger you keep.
02Can it handle multiple currencies?
Yes — multi-currency invoicing with exchange rate handling and reporting in your base currency.
03Can it integrate with payment gateways?
Yes. Payment links on invoices, automatic status updates on receipt, and reconciliation against the gateway settlement.
04Can it generate recurring invoices automatically?
Yes. Recurring plans renew on schedule, with proration when a customer changes plan mid-cycle, and invoices are issued and sent without manual steps.
05Can our customers pay online?
Yes. Every invoice can carry a payment link; payment status updates automatically when the gateway confirms receipt.
06Can it send payment reminders automatically?
Yes. Reminders go out on a schedule you set before and after the due date, stop as soon as payment is received, and receivables ageing shows who owes what at a glance.
07Is it GST compliant?
Yes. GST invoice formats, tax breakdowns and reports are built in and kept configurable, since rates and rules change.
08Can existing customers and balances be migrated?
Yes. Customers, contracts, open invoices and balances are migrated and reconciled against your current records before go-live, so nothing is lost or double-billed at the switch.
09Can it handle credit notes and refunds?
Yes. Credit notes, partial refunds and adjustments are issued against the original invoice, posted correctly to the ledger, and reflected in receivables and reports, so corrections never break reconciliation.
